Lead Response

New Inquiry Response Email

Reply to a website or Instagram inquiry within the hour — warm, qualifying, and pointed at booking a call. Speed is the single biggest predictor of whether a luxury lead converts.
Subject: Thank you for reaching out to [Studio Name]

Hi [First Name],

Thank you for getting in touch — I'd love to learn more about your project at [City / neighborhood].

To make our first conversation useful, it helps to know a little in advance:

• The space(s) you're looking to design, and roughly the square footage
• What's prompting the project now (a move, a renovation, a refresh)
• Your ideal timeline to have it complete
• The investment range you have in mind for furnishings and design

We take on a limited number of full-service projects each season so that every client gets our full attention, and it sounds like yours could be a wonderful fit.

Are you free for a complimentary 20-minute discovery call this [day] or [day]? Here is my calendar: [scheduling link]

Discovery Call Follow-Up & Proposal Email

Sent within 24 hours of the discovery call: recap what you heard, restate the vision in their words, and present the proposal as the natural next step.
Subject: Your project at [Location] — next steps

Hi [First Name],

It was a pleasure speaking with you today. I left our call genuinely excited about [the project — e.g., reimagining the ground floor as one warm, connected space for entertaining].

Here's what I heard is most important to you:

1. [Priority one — e.g., a calm, layered primary suite]
2. [Priority two — e.g., a kitchen that works for a family of five]
3. [Priority three — e.g., finished before the holidays]

Based on that, I've prepared a proposal for full-service interior design covering [scope: space planning, sourcing, procurement, project management, styling]. You'll find the scope, our design fee, and how we work together attached.

I'd suggest we hold [start date] to begin. To reserve it, simply reply to approve the proposal and I'll send the letter of agreement and initial invoice.

Any questions at all — call or reply anytime.

Warmly,
[Your Name]

Onboarding

Client Welcome & Onboarding Email

The first email after a client signs. Sets the tone, confirms what happens next, and makes an affluent client feel they made the right choice.
Subject: Welcome to [Studio Name] — here's what happens next

Dear [First Name],

Welcome — I'm so glad we're working together on [project]. This note lays out exactly what to expect so nothing feels like a mystery.

WHAT HAPPENS NEXT
1. Kickoff & measure — I'll visit on [date] to measure, photograph, and get a feel for how you live in the space.
2. Discovery questionnaire — the short form linked below helps me design for your real life, not a showroom. [link]
3. Concept presentation — around [date], I'll present the design direction, palette, and key pieces.
4. Sourcing & procurement — once approved, we handle ordering, tracking, and delivery.
5. Install & reveal — the day it all comes together.

HOW WE'LL STAY IN TOUCH
Your main point of contact is me at [email / phone]. I send a brief update every [Friday]. The best way to reach me for anything time-sensitive is [preferred channel].

A FEW THINGS TO HAVE READY
• Any inspiration images you've been saving (Pinterest, screenshots — send them all)
• Pieces you own and want to keep
• Dates you'll be traveling over the next few months

I couldn't be more excited to begin.

Warmly,
[Your Name]

Client Comms

Design Presentation / Reveal Email

Frame the concept presentation so the client arrives excited and ready to approve, and give hesitant clients a graceful way to give feedback.
Subject: Your design is ready — presentation on [date]

Hi [First Name],

The moment we've been building toward is here. On [date] at [time] I'll walk you through the full design for [space] — the concept, the palette, the furnishings, and how every piece works together.

WHAT YOU'LL SEE
• The design concept and the story behind it
• Floor plans and furniture layouts
• Materials, finishes, and fabrics in hand
• Every key piece, with pricing and lead times

HOW TO GET THE MOST FROM IT
Come with your reactions — love it, question it, all of it. This is a collaboration, and the best rooms come from honest feedback early. Nothing is ordered until you've approved it.

WHAT HAPPENS AFTER
Once you approve, we finalize selections, I prepare the procurement schedule, and we lock in an install window.

Can't wait to show you.

Warmly,
[Your Name]

Getting Paid

Invoice & Payment Reminder Emails

Two versions — a friendly nudge and a firmer follow-up — so late payments never become awkward silences that stall procurement.
— GENTLE REMINDER (a few days after due date) —

Subject: Just a quick note on invoice [#]

Hi [First Name],

Hope you're having a lovely week! A friendly reminder that invoice [#] for [amount] was due on [date]. It may have simply slipped by — you can pay it here: [link].

Once it's in, I'll release [the next order / the procurement schedule] right away so we stay on track for [milestone].

Thank you!
[Your Name]

— FIRMER FOLLOW-UP (7–10 days later) —

Subject: Invoice [#] — action needed to keep [project] on schedule

Hi [First Name],

I wanted to follow up on invoice [#] for [amount], now [X] days past due. Per our agreement, I'm not able to place [orders / the next phase] until it's settled, and I'd hate for that to push your [install / completion] date.

You can pay online here: [link], or reply and we'll arrange another method. If there's an issue on your end, just let me know and we'll sort it out.

Thank you for taking care of this,

Reviews & Referrals

Project Wrap-Up & 5-Star Review Request

Sent at the emotional peak — right after the reveal — this is the single highest-ROI email a studio can send. It turns a happy client into reviews and referrals.
Subject: It was a joy — one small favor

Dear [First Name],

Seeing your reaction to [space] on reveal day is exactly why I do this work. Thank you for trusting [Studio Name] with your home.

If you're happy with how it turned out, the kindest thing you could do for a small studio is leave a short review. It's how new clients find us — and it takes two minutes:

→ Google: [direct review link]
→ Houzz: [link]

Even a line or two about what the experience was like makes an enormous difference.

And if a friend ever mentions they're thinking about a project, I'd be honored by the introduction. I keep referral clients close to the top of my list.

With gratitude,
[Your Name]
[Studio Name]

P.S. I'd love to photograph the finished space for our portfolio — I'll be in touch to arrange a time that works for you.
Repeat Business

Past-Client Reactivation Email

Re-open the door with former clients — the warmest leads you'll ever have. Send seasonally or when you have new capacity.
Subject: Thinking of you and [their home / the [room] we did]

Hi [First Name],

I was just [reminiscing about your project / passing through your neighborhood] and it made me think of you. I hope [the space] is still bringing you joy.

I'm opening a few project slots for [season], and I always love working with clients I already know. If there's a room you've been meaning to tackle — [the guest suite, the outdoor space, the home office] — or even just a refresh, I'd be delighted to help.

No pressure at all. But if the timing feels right, reply and we'll find a time to talk.

Warmly,
[Your Name]

Why a Marketing Agency Gives These Away

Because this is what we do, shown instead of described. The templates above will win you the next project — but the studios that grow fastest have a whole system working for them: a website that ranks, content that pulls in affluent clients, and follow-up that never slips. That is what we build. Start with our digital marketing service for interior designers or our SEO service for interior designers. Want the interactive versions — a contract builder, fee calculators, a name generator? They're all in our free tools for designers. Architect? See the template library for architects.
Want this kind of marketing working for your practice — clients finding you at the moment they need a designer? Tell us about your studio below.
In the garden of time, we'll soon meet
Your aspiration, like a seed, has taken root
Our response, like a bloom, shall shortly greet.
